Vestry LLC ("Vestry," "we," "us," or "our") operates Closeloop, a transaction management application for real estate professionals (the "App" or "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Information we collect

We collect information you provide directly, information collected automatically, and information from third-party services you connect to Closeloop:

Account information: name, email address, phone number, brokerage, and login credentials.
Client and transaction data: buyer/seller contact details, property addresses, contract dates, and transaction notes that you enter to manage your deals.
Contract documents: PDFs or photos of contracts you upload for AI-assisted data extraction.
Payment information: processed and stored by our payment processor, Stripe. We do not store full card numbers on our servers.
Usage data: app interactions, device type, and log data collected automatically to improve the Service.

2. How we use your information

To provide, operate, and maintain the Service, including deadline calculations, contract scanning, and client portals.
To process subscription payments via Stripe.
To generate AI-assisted features (contract extraction, vendor recommendations, market data) using Anthropic's Claude API. Contract content you upload may be sent to Anthropic for processing; it is not used to train Anthropic's models per our commercial agreement with Anthropic.
To communicate with you about your account, invites, and product updates.
To improve, secure, and troubleshoot the Service.

3. How we share information

We do not sell your personal information. We share information only with:

Service providers that help us operate Closeloop, including Supabase (database and authentication), Stripe (payments), Anthropic (AI processing), and GoHighLevel (customer communications and invite workflows).
Your clients, to the extent you choose to share transaction status through a buyer or seller portal.
Law enforcement or regulators, if required by law.

4. Data retention

We retain account and transaction data for as long as your account is active, and for a reasonable period afterward to comply with legal obligations or resolve disputes. You may request deletion of your account and associated data at any time by contacting us.

5. Your choices

You can access, update, or delete your account information from within the app or by contacting us.
You can opt out of non-essential communications at any time.
California, EU, and other residents may have additional rights under applicable privacy laws; contact us to exercise them.

6. Security

We use industry-standard safeguards, including encryption in transit and access controls, to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Children's privacy

Closeloop is intended for licensed real estate professionals and is not directed to children under 16. We do not knowingly collect information from children.

8. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here with a new "Last updated" date.
